One thing separates a smooth show from a stressful one: preparation. Trade shows are high-stakes moments — your brand is on display, your team is there to represent the company, and there's no running back to the warehouse when something's missing or worn out.

So before you load the van, book the hotel, or even mark the date on your calendar, make sure you have everything you need for the show.

This checklist is your go-to guide for walking into every show feeling confident, organized, and ready to connect.

Before You Pack: The Pre-Show Audit

Don't wait until setup day to discover a bent frame or faded banner. A few weeks before the show, do a full walkthrough of everything you plan to bring. Here's what to look for:

Displays & Signage

  • Pop-up displays and banner stands - Fully assemble each one. Check for bent poles, broken connectors, and frame warping. If it doesn't snap together cleanly at home, it won't at the show.
  • Printed graphics - Hold them up to natural light. Look for fading, creasing, or color inconsistency. If your brand colors look off, they'll look worse under fluorescent trade show lighting.
  • Tension fabric displays - Check the fabric for snags, tears, or visible staining. Inspect the pillowcase zipper and the frame joints.
  • Retractable banner stands - Test the retracting mechanism. A sluggish or sticky roll-up is a setup headache waiting to happen.
  • Tabletop displays - Lay them flat and check for warping. Tabletop panels that don't sit flush look unprofessional on a 6-foot table.
  • Literature holders and brochure displays - Make sure they're clean, uncracked, and sized correctly for your current materials.
Replace if: Graphics are visibly faded, frames are bent or won't lock, or the display looks dated compared to your current branding.

Furniture & Tables

  • Table covers and throws - Wash them (if fabric) and inspect for stains, pilling, or stretched edges. A wrinkled or discolored table throw is one of the first things attendees notice.
  • Folding tables - Check the locking legs and surface for scratches or damage.
  • Stools and chairs - Test the height adjustments and check for wobble.
  • Counters and reception desks - If you use a portable counter, assemble it to confirm all panels lock securely and the surface is scratch-free.
Replace if: The cover no longer fits snugly, has permanent stains, or the color has faded from washing.

Lighting

  • LED spotlights and display lights - Test every bulb. Bring extra if your setup relies on clip-on or panel lighting.
  • Backlit displays - Power them on and check for uneven lighting or dim panels.
  • Power cords and extension cables - Inspect for fraying. Confirm you have enough length for your booth layout.
Replace if: Any bulb is out, lighting is uneven, or cords show wear.

Technology & Media

  • Laptop, tablet, or monitor for demos — Charge fully, test your presentation, and bring the charger.
  • Presentation files — Save to the device and a backup drive or cloud folder.
  • External monitor or TV - Bring the correct cables (HDMI, USB-C) and a universal adapter.
  • Speakers — Test volume levels in a larger room to approximate show floor conditions.
  • WiFi hotspot — Don't rely on venue WiFi for anything mission-critical.

Collateral & Marketing Materials

  • Brochures and sell sheets — Check that quantities match the expected show traffic. Order more than you think you need.
  • Business cards — Count them. Then count again. Bring more.
  • Product samples — Inspect for damage, and make sure they reflect your current lineup.
  • Giveaways and branded merchandise — Confirm quantities, check for defects, and make sure everything is in the booth bag before you leave.
  • Order forms or QR codes — If you're taking orders at the show, test your process end-to-end.

Packing Essentials

These are the small things that save the day. Keep a dedicated "show kit" box that's always stocked and ready:
  • Zip ties and bungee cords
  • Gaffer tape (not duct tape — it won't damage surfaces)
  • Scissors and a box cutter
  • Hook-and-loop fastener strips
  • Marker and pen
  • Power strip / surge protector
  • Hand truck or dolly
  • Safety pins
  • Paper towels and surface cleaner
  • First aid kit
  • Snacks and water

The Booth Checklist: Day-Of Setup

Once you're onsite, work through this list before the doors open:
  • All display frames are assembled and level
  • Graphics are properly tensioned or mounted — no bubbles, wrinkles, or gaps
  • All lighting is on and aimed correctly at key displays or products
  • Table cover is smooth and centered
  • Literature holders are stocked and organized
  • Technology is powered on, charged, and tested
  • Collateral is arranged and easy to grab
  • Giveaways are accessible but not cluttering the table
  • Business cards are visible and within easy reach
  • You've done a "visitor's eye view" — step back and look at your booth from the aisle

The Post-Show Checklist: What to Do After the Show Closes

The show may be over, but this step determines how smoothly your next one goes:
  • Photograph your booth setup for future reference
  • Note anything that broke, bent, or underperformed
  • Collect all leads and enter them into your CRM within 24–48 hours
  • Pack displays carefully — proper storage extends their lifespan significantly
  • Order replacements for any damaged or worn items while it's fresh
